How to turn WhatsApp voice notes into a transcript
Last reviewed 30 October 2026
Short answer: Save the original voice note first, then run it through a transcription tool and read the result against the audio. A transcript is a typed version made by software. It can contain mistakes, so check it by listening, and keep the audio as the real record.
Voice notes are often the most important part of a chat, and the easiest to lose. This page explains how to keep them and how to get a readable transcript. It is general information, not legal advice.
Step 1: keep the original audio
Short answer: Long-press the voice note and save or share it to your files, or export the chat with media. Keep that file untouched. Keep one copy that you never send anywhere or edit.
- Android: export the chat "With media", or long-press the voice note and use Share or Save.
- iPhone: export the chat "Attach Media", or press and hold the voice note and choose Forward or Share to Files.
- Make a copy for working on and leave the first one alone.
- Do not delete the voice note from the chat.
If disappearing messages are on, switch them off and save what you can now.
Step 2: get a transcript
Short answer: Use a transcription tool that works on audio files. Pick one whose privacy terms you have read, because a voice note can contain private details. Some tools run on your device, others send audio to a server.
Ask of any tool:
- Does the audio stay on my device, or is it uploaded?
- Who can see it, and how long is it kept?
- Does it handle my accent and the language spoken?
VaultXT keeps your chat on your device. A voice note is sent only if you tap "Write out this voice note" and agree. Then the audio of that one voice note goes, through our website, to Cloudflare's speech-to-text service (Workers AI, Whisper large v3 turbo), and the words come back. VaultXT does not store or log the audio or the words. Cloudflare says it does not keep them or use them for training (Cloudflare Workers AI data usage page, read 30 October 2026). Nobody else receives the audio. If you never tap it, no audio leaves your device. The words appear in your pack labelled as a machine transcription, so a reader can tell they are not the voice note itself. A voice note over about an hour is too long to write out.
Step 3: check it against the audio
Short answer: Listen to the voice note while reading the transcript, and fix anything wrong. Names, numbers, dates, swearing and overlapping voices are where software slips most.
A simple method:
- Play the audio in short stretches.
- Read the transcript at the same time.
- Correct any wrong words. Mark any part you cannot make out, such as "[unclear]".
- Note who is speaking if more than one person is on the clip.
- Record the date and time the voice note was sent, which the chat shows.
If the words matter, do not rely on software alone. A person who knows the voice should check it.
Label it honestly
Short answer: Say plainly that the transcript is a typed version made from the audio and was checked by a named person on a date. Never present it as the voice note itself.
A short label works: "Transcript of voice note sent 14 April 2025, 18:02. Machine transcription, checked against the audio by [name] on [date]. The original audio is kept." This tells the reader what they have and where the original is.
Putting it with the rest of the chat
Short answer: In a dated chat record, show the voice note as an item at its place in the conversation, with the transcript and a note that the audio exists. Do not paste a transcript in as if it were typed.
Make a pack lays out the chat as dated, numbered pages. Check a pack confirms each quote matches the original export. A transcript you add yourself is outside what the check can confirm, so label it.
Some courts and bodies limit voice recordings or transcripts. For England and Wales family courts, see Can WhatsApp messages go in a family court bundle?. For text exports, read how to export a WhatsApp chat to PDF with dates, and for what screenshots can and cannot show, see screenshot or WhatsApp export?.

Questions people ask
Is a transcript as good as the voice note?
No. The audio is the original. The transcript helps people read it.
Can software get it wrong?
Yes. Check names, numbers and dates by listening.
Does the chat export include voice notes?
Only as audio files if you export with media. Without media they show as a file name.
Is it safe to upload voice notes to a transcription site?
Read the privacy terms first. Choose one that processes on your device or deletes the audio, if the content is sensitive. VaultXT sends a voice note only when you tell it to, one at a time, as described above.
Will a court accept a transcript?
That is for the court. Check its directions and ask how recordings should be handled.
Not legal advice. This is general information, not legal advice. VaultXT is not a law firm and cannot promise that any court, tribunal, scheme, bank or seller will accept a document.
