Screenshot or WhatsApp export: which is better as evidence?
Last reviewed 30 October 2026
Short answer: For a long conversation, an export is usually easier to rely on. It holds every message with its date, time and sender, and it can be searched. A screenshot shows only what was on screen, so it is easy to question what is missing. Whichever you use, keep the original chat on your phone.
Neither one proves a message is genuine on its own. Whether a court, tribunal or other body accepts either is for them to decide, so check their own directions.
What a screenshot gives you
Short answer: A screenshot is a picture of part of the chat as you saw it. It is quick, and it shows how the chat looked, but it cannot be searched, and it leaves out whatever was above or below the frame.
Strengths:
- Quick to take, and you may have taken it at the time.
- Shows the layout, emoji, images and reactions as they appeared.
Weaknesses:
- Only a slice of the chat. Someone can ask what came before and after.
- The text is not searchable and is hard to number or quote exactly.
- Pictures can be edited, so a reader may want more than the picture.
- Dates sometimes show as "Today" or "Yesterday", which is no help later.
What an export gives you
Short answer: An export is a text file of the whole chat that WhatsApp makes for you. Every message has a date, time and sender, so it is easier to follow, search and turn into numbered pages.
Strengths:
- Complete for what is still on your phone.
- Searchable, so you can find a name or a date fast.
- Easy to turn into a dated PDF. See how to export a WhatsApp chat to PDF with dates.
Weaknesses:
- A plain export is just a text file. It can be edited, and a text file alone does not show that nobody did.
- It does not show images or layout.
- Voice notes appear only as a file name unless you export media separately.
- If messages were deleted before you exported, they are not in it.
Side by side
Short answer: Screenshots show how the chat looked. Exports show what was said, in order, with dates. Using both, and the original phone, is stronger than either alone.
| Screenshot | Export | |
|---|---|---|
| Whole conversation | No | Yes, what is on the phone |
| Dates and times | Often partial | Every message |
| Searchable | No | Yes |
| Shows images and layout | Yes | No |
| Easy to number and quote | Hard | Easy |
| Can be edited | Yes | Yes |
What to do in practice
Short answer: Export early, keep the original chat, keep the exported file unchanged, and make your PDF from the export. Keep key screenshots as a backup of how it looked.
- Do not delete anything, and switch off disappearing messages for the chat.
- Export the chat without media and save the file somewhere safe. Do not edit it.
- Take screenshots of key moments if the layout matters, such as a photo or a reaction.
- Make a dated PDF from the export and pick only the messages you need.
- Be ready to show the phone itself if someone asks.
If the chat includes voice notes, keep the original audio file. See turning voice notes into a transcript.
Checking what you made
Short answer: Check that every quote in your PDF matches the original export word for word. VaultXT does this when it makes a pack, and Check a pack lets you run the check again on any pack.
Make a pack picks the messages you choose from an export and copies them exactly. It does not make a message more genuine than it was. It makes it easier to read and to check.
A note about courts
Some courts limit what message evidence goes in a bundle, and may want specific messages rather than a whole chat. For England and Wales family courts, see Can WhatsApp messages go in a family court bundle?. Other courts and tribunals differ. Read their directions.

Questions people ask
Are WhatsApp screenshots enough?
Sometimes, for a short and uncontested exchange. For anything longer or disputed, people usually need more than a screenshot.
Can an export be faked?
A plain text export can be edited. That is why keeping the phone and the unchanged export file matters.
Should I print the chat instead?
Printing a PDF is fine if the body you are dealing with wants paper. Ask what format they want.
Do I need both?
Not always. If you only have screenshots, keep them and also export the chat now.
Is this legal advice?
No. Check the rules of the court or body you are dealing with.
Not legal advice. This is general information, not legal advice. VaultXT is not a law firm and cannot promise that any court, tribunal, scheme, bank or seller will accept a document.
